ROLE SUMMARY:
The ideal candidate will have five or more years of recent work experience supporting sales teams with administrative duties. Applicants must have a positive disposition, a servant’s heart, competency in Excel and Salesforce.com, and a strong ability to multi-task. ROLE RESPONSIBILITIES:
· Prepare and distribute weekly and monthly sales reports, as instructed by the Sales Directors.
· Prepare and format slide content for internal and external meetings, as instructed by the Sales Directors.
· Capture notes and action items during internal sales meetings and important customer meetings, as deemed necessary by the Sales Directors.
· Follow-up and investigate on specific orders, shipments and/or invoices with inside sales team, as directed by sales managers.
· Serve as the backup when sales teammates are unavailable, finding other teammates who can handle inquiries.
· Organize and maintain sales agreements and other important sales files in Teams and the Company’s servers.
· Maintain sales maps, directories and contact lists, and communicate changes to marketing as needed, so Company websites are accurate.
· Maintain the correct sales organizational structure in Company platforms, such as Outlook, Salesforce, Workday, Concur, LeadMethod, etc.
· Review expense reports for completeness and accuracy on behalf of the Sales Directors.
· Make travel and meeting arrangements for the sales team, as needed.
· Assist with ordering literature and promotional items for the sales team, as needed.
Job Requirements:
QUALIFICATIONS
Required:
· High school diploma or equivalent.
· Three years (min) experience as a sale’s administrative assistant.
· Advanced Microsoft Office skills, including use of pivot tables in Excel.
· Interpersonal skills to interact with internal and external customers.
· Ability to multi-task and exceptional follow-through on assignments
· Adaptability; handle requests from multiple requestors
· Proven dependability
Preferred:
· Associate degree in Office Technology, Administration, or Business-related discipline
· Five years of sales administrative assistance experience.
· Microsoft Office Specialist Certification, Certified Salesforce Professional and/or similar administrative professional designations.
· Proficiency with customer service duties and/or previous administrative assistant experience in a customer-facing environment
Primary work hours will be Monday through Friday. Regular start time will be between 7:00 – 8:00 a.m. with an end time between 4:00 – 5:00 p.m. eastern time. This position does have a 30-minute unpaid lunch. Overtime may be required on an intermittent basis. (This position is non-exempt and eligible for overtime pay.) No relocation assistance will be offered for this position.
